
About the Summit
The Encoding Health Equity Summit is the annual convening of the Encoding Equity Alliance. This year’s theme is From Evidence to Impact. Join a community of peers focused on reconsidering race in clinical algorithms at this annual convening.
During the Summit, we will explore current strategies for auditing clinical guidance, updating guidelines and algorithms, assessing the underlying evidence base, and implementing these changes in various settings. We will highlight accomplishments and lessons learned in assessing the inclusion of race as a biologic construct and its impact on patient outcomes and in developing pathways to address the misuse of race in research.

Travel Scholarships
For Patients and Emerging Leaders
The Encoding Equity Alliance is committed to engaging patients and emerging leaders, such as trainees and young investigators, in Alliance activities. With support from the Doris Duke Foundation, CMSS will provide travel scholarships for individuals to attend the Encoding Health Equity Summit in Washington, DC.
This scholarship program supports individuals who are committed to advancing their knowledge and impact in reconsidering race in clinical algorithms, but who would otherwise not be able to attend the event due to financial or budgetary constraints. Please review the Travel Scholarship Program Details for additional information.
Award Information
CMSS will award up to 20 scholarships of $750 to cover travel and hotel arrangements to attend the Summit. Funds will be distributed after the Summit. The application period has closed, please contact Encoding Equity with any questions.

Event Policies
Registration Policies
In-Person Registration Invitations / Substitution:
In-Person registration invitations are non-transferrable without prior approval. Requests for substitutions or transfers from one registrant to another should be submitted to EncodingEquity@cmss.org for review.
Virtual Registration:
All Virtual Registrations will be reviewed and approved by the Encoding Equity Alliance. Please allow up to three (3) business days for approval of your registration before the virtual link will be provided. The deadline for virtual registration is June 20.
Photography and Recording:
By registering and attending the Encoding Health Equity Summit 2025, you acknowledge and agree that photographs and/or video recordings may be taken of you during the event. You consent to the use of these images and recordings for promotional, educational, and informational purposes by the Encoding Equity Alliance and the Council of Medical Specialty Societies (CMSS). This includes, but is not limited to, publication on the CMSS and Encoding Equity websites, social media platforms, and in printed materials.
Recorded sessions are owned by CMSS and may be made available for on-demand viewing. If you have questions regarding session recording or wish not to be photographed or recorded, please email EncodingEquity@cmss.org.
Event Health & Safety Protocols:
The Encoding Equity Alliance, led by the Council of Medical Specialty Societies (CMSS), is committed to providing a safe meeting environment for all participants, and will follow all federal, state and local regulations based on the current conditions at the time of the meeting. All attendees agree to comply with any Health & Safety Protocols that may be put in place at the time of the meeting.
CMSS asks attendees who are not feeling well not to travel to the meeting. If an attendee feels unwell or is displaying symptoms during the meeting, we recommend refraining from contact with others. Masks are not required but are welcome and will be available at the registration desk.
CMSS reserves the right to update these Health & Safety Protocols in advance of the event and will notify all registrants of any changes.
Registrants acknowledge that travel to and attending in person meetings entails the risk of contracting communicable diseases. By registering, you agree to waive and hold the Council of Medical Specialty Societies, the facility, and each of their agents harmless from and against any liability, damages or expenses arising from travel to or attendance at the event that result in contracting communicable diseases.

Submission Policies
- Unless otherwise notified by CMSS, all presenters are required to register for the Summit and are responsible for their own travel expenses. All presenters are required to deliver their presentations in-person in Washington, DC (no virtual presentations). Submitters must attest that each presenter is aware of this proposal and has committed to presenting in-person if accepted.
- All selected presenters will be required to complete a Conflict of Interest form and disclose any relationships with commercial interests at the start of their presentation, in accordance with the CMSS Code for Interactions with Companies.
- Any submissions from Industry/Corporate must be submitted in partnership with a member of the Encoding Equity Alliance. Submissions which are strictly promotional of products or services will not be accepted.
Proposal Review
The Encoding Health Equity Summit Program Committee, comprised of funders, publishers, medical societies, researchers, the AI/Technology community, and patient groups, has the responsibility to review and rank all submissions and determine selections for presentation at the meeting. The committee will also determine the format of each presentation.
